Privacy Policy

1. Our commitment

Doorfolk Media ("Doorfolk", "we", "us") publishes a quarterly neighbourhood flyer across the Greater Toronto and Hamilton Area. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's Anti-Spam Legislation (CASL), and applicable Ontario law. This policy explains what we collect, why, and the choices you have.

2. Information we collect

• Business applicants: business name, contact name, email address, phone number, service category, service areas, website and any notes you choose to include in the application form.
• Homeowners: the region or neighbourhood you select when browsing an edition, plus any details you provide if you contact us. We do not require an account to browse the Site.
• Technical data: limited log and device information (IP address, browser type, pages viewed) generated automatically when you visit the Site, used for security and to keep the Site working.

We do not knowingly collect personal information from children, and we do not collect sensitive information such as financial account details through the Site.

3. How we use it

We use personal information to review and respond to business applications, arrange and produce flyer placements, invoice advertisers, answer enquiries, maintain and secure the Site, and meet legal or accounting obligations. Business contact details supplied for a placement may appear in the printed Flyer and on the Site, because the purpose of the placement is publication.

4. Consent

We collect and use personal information with your knowledge and consent, which you give by submitting a form or contacting us. Commercial electronic messages are sent only where CASL permits (for example, in response to your enquiry or under an existing business relationship), and every such message includes an unsubscribe option. You may withdraw consent at any time, subject to legal and contractual limits; doing so may mean we can no longer provide a placement.

5. Disclosure to others

We do not sell or rent personal information. We share it only with service providers who help us operate — for example, our hosting and database provider, print and distribution partners, and payment or accounting providers — under agreements that limit their use of the information. We may also disclose information where required by law, court order, or to protect our legal rights.

6. Storage and transfers

Application data is stored in a managed cloud database. Our providers may process or store data outside Canada, in which case it may be accessible to foreign courts and law enforcement under the laws of that jurisdiction. We select providers that apply comparable safeguards.

7. Safeguards and retention

We use administrative and technical safeguards — access controls, encryption in transit, and database row-level security — appropriate to the sensitivity of the information. We keep application records only as long as needed for the purposes described above and to satisfy legal, tax and audit requirements, after which they are securely deleted or anonymized.

8. Cookies and analytics

The Site uses only the cookies and local storage needed for it to function. If we introduce analytics or advertising cookies, we will update this policy and, where required, request your consent first. Most browsers allow you to block or delete cookies.

9. Your rights

Under PIPEDA you may request access to the personal information we hold about you, ask that it be corrected, or ask that it be deleted where we have no continuing legal or business need for it. Contact us using the details below and we will respond within 30 days. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada.
